Using the Clipboard

On this catalogue you can select records while searching and browsing, and add them to the clipboard, for later review or further action.

The clipboard is session-based - if you close your browser window, all the pinned items will be lost - unless you choose to save the clipboard.

If you save a clipboard, you can return to it for up to 365 days. You can also share a saved clipboard with others.

This page will explain step-by-step how to use this functionality.

Adding records to the clipboard

You can add archival descriptions and authority records (people & organisations) to the clipboard.

On the search results page, you will see a paperclip icon next to each result. Click the paperclip to add the result to your clipboard. The paperclip should turn blue to indicate that it has been successfully added. The paperclip icon in the header bar at the top of the screen should also have a number next to it, which will increase each time you add a new record. You can also remove records from the clipboard by clicking the blue-highlighted paperclips again.

If you are using the “card view”, such as when browsing digital objects, the clipboard link appears on the bottom right of the card.

You can also add an individual record to the clipboard while you are looking at it . Again, the clipboard icon is on the right-hand side and will turn blue when you click on it.

If you are using the clipboard to generate a list of requests ahead of your Research Appointment, please note that we cannot retrieve anything labelled Fonds, Sub-Fonds or Series. These records are part of the intellectual arrangement of the archive rather than physical objects. Please only request records where the Level of Description is File or Item. Reviewing your clipboard

To review the items in your clipboard, click on the paperclip icon in the header bar at the top of the screen. This will tell you how many archival descriptions and authority records you have in the clipboard and give you 4 options in a drop-down menu: Clear all selections; Go to clipboard; Load clipboard; Save clipboard. Choose: Go to Clipboard.

If you have added both archival descriptions and authority record, the default view for the clipboard is the archival descriptions view. To view authority records instead, change the entity type in the top right-hand corner.

Within this view you can remove items from your clipboard by clicking on the by clicking the blue-highlighted paperclips again. You can also clear all results from your clipboard by choosing 'clear archival description clipboard' or 'clear authority record clipboard'.

Saving your clipboard

You can save your clipboard in two ways. Firstly, by clicking on the paperclip icon in the header bar at the top of the screen and choosing 'save clipboard'. This will take you to the clipboard view and a clipboard ID will appear at the top of the screen. Please either copy or write down this clipboard ID. You can share this clipboard ID with others so that they can view the same list of records.

You can also save the clipboard by using the 'save' button at the bottom of the screen in the clipboard view. Please note that both methods will save the whole clipboard (archival descriptions and authority records).

Loading a saved clipboard

You can return to a clipboard that you were previously working on, or a clipboard that someone has shared with you, as long as you have the Clipboard ID. To load a saved clipboard, click on the paperclip icon in the header bar at the top of the screen and choose 'load clipboard'. This will take you to a page asking for your clipboard ID, which should be 7 digits long. If you already have items in your clipboard, you can choose to either add the items from the saved clipboard to the list, or overwrite them with the saved list.

Please note that the clipboards are saved for 365 days. If you are reaching the end of this time limit and wish to continue saving these items, please load the clipboard and then save it again under a new ID. This will make it available for a further 365 days under the new ID. There is no limit to the number of times that you can do this.

Adding to a saved clipboard

It is not possible to add items to a saved clipboard and continue to access that clipboard using the same clipboard ID. If you would like to add items to a clipboard, please load the clipboard, add the additional items and then save it under a new clipboard ID.

Exporting your clipboard

If you would like to be able to view the list of items outside of the catalogue, there are two ways that you can do this.

When viewing a clipboard, click 'Print preview' in the top left corner. This will create a printable view of the screen and enable you to print your list of items. Please note this will only include the information visible on the screen and not the full catalogue records; however it will include thumbnails of any digital images.

To download and save the full catalogue records, please choose 'export' at the bottom of the screen. You can then choose to download the catalogue records as either csv or xml. Please note that this method will not include any digital images.

If you have added both authority records and archival descriptions to the clipboard, with both methods you will need to export each type separately.

I've lost my clipboard ID, can you help me retrieve it?

Unfortunately archive staff do not have any access to the lists created through the clipboard functionality, unless the clipboard ID has been directly shared with us. If you are creating a detailed list of items using the clipboard functionality, please ensure that you save it at regular intervals.
